What we collect, why we collect it, how advertising cookies work on this site, and the choices you have.

Who we are
This policy covers www.nhspaycalculator.com ("NHS Pay Calculator", "we", "us"). We are the data controller for the personal information described here. You can contact us about anything in this policy by email at subipodiyanjohn@gmail.com or through our contact form.
The short version
- The calculators run in your browser. The figures you enter are not sent to us or stored by us.
- We count page views and calculator uses as anonymous daily totals. These counts do not identify you.
- With your consent, we use Google Analytics to understand how the site is used, such as which pages are popular. It uses cookies, and you can say no.
- If you join our newsletter or send us a message, we keep the details you give us so we can reply or send the newsletter.
- We show adverts from Google AdSense. Google and its partners may use cookies to show ads. In the UK, EEA and Switzerland we ask for your consent first, and you can change your choice at any time.
Information we collect
Information you type into calculators
Salary, hours, dates and other figures you enter into a calculator are processed in your browser to produce the result. They are not sent to our servers. A small number of tools, such as the revalidation tracker, can save your progress in your browser's local storage so it is still there next time. That data stays on your device, and you can delete it at any time by clearing your browser's site data.
Anonymous usage counts
When a page loads or a calculator is used, your browser sends a simple signal that adds one to a daily total, along with whether the screen is mobile or desktop sized. We do not record your IP address, a cookie ID or any other identifier with these counts. A temporary flag in your browser's session storage stops the same visit being counted twice and is deleted when you close the tab.
Newsletter sign-ups
If you subscribe, we store your email address and the date you signed up. We use it only to send updates about the site, such as new calculators and changes to pay and tax rates. You can ask us to remove you at any time.
Messages you send us
If you use the contact form, we store your name, email address, the topic you chose and your message so that we can reply.
Server logs
Our hosting provider automatically records technical information when any website is visited, such as IP address, browser type, the page requested and the time. These logs are used to keep the site running and secure and are kept for a short period under the hosting provider's own retention rules.
Google Analytics
We use Google Analytics, a service from Google, to see how visitors use the site: for example which pages and calculators are used most, how people arrive at the site, and roughly where in the world they are. This helps us decide what to improve.
- Google Analytics uses cookies, such as _ga, to tell visits apart. In the UK, the EEA and Switzerland it only sets these cookies if you agree in the consent message.
- We do not use Google Analytics to identify you, and we do not send it your name, email or anything you type into a calculator.
- Google processes this data as described in How Google uses information from sites or apps that use our services.
- You can change your choice at any time with the Cookie settings link at the bottom of every page, or install the Google Analytics opt-out browser add-on.
Advertising and cookies
We use Google AdSense to show adverts. This is how we keep the site free.
- Third-party vendors, including Google, use cookies to serve ads based on a user's previous visits to this website or other websites.
- Google's use of advertising cookies enables it and its partners to serve ads to users based on their visits to this site and/or other sites on the internet.
- You can opt out of personalised advertising by visiting Google Ads Settings. You can also opt out of some third-party vendors' use of cookies for personalised advertising at aboutads.info or youronlinechoices.eu.
- If you opt out, you will still see adverts, but they will be less related to your interests.
Google may also work with other ad technology vendors who can place or read cookies when ads are shown. The full list of these partners, and the purposes each one uses data for, is shown in the consent message on this site. You can learn more about how Google uses information from websites that show its ads in How Google uses information from sites or apps that use our services.
Your consent
Visitors from the UK, the European Economic Area and Switzerland see a consent message from Google, a certified consent management platform, the first time they visit. Non-essential advertising cookies are only used if you agree. You can choose personalised ads, non-personalised ads, or refuse cookies that are not essential. To change your choice later, use the Cookie settings link at the bottom of every page.

| Name or type | Set by | Purpose | How long |
|---|---|---|---|
| Advertising cookies (for example IDE, __gads, __gpi) | Google and ad partners | Show and measure ads, limit how often you see the same ad, and personalise ads where you have agreed | Up to 13 months |
| Consent cookies (for example FCCDCF, FCNEC) | Google consent message | Remember your cookie choices | Up to 13 months |
| _ga and _ga_* | Google Analytics | Tell visits apart so we can count how the site is used, only with your consent in the UK and Europe | Up to 2 years |
| nhs-tracked-* (session storage) | This site | Stops one visit being counted twice in our anonymous totals | Until you close the tab |
| Calculator progress (local storage) | This site | Saves progress in tools such as the revalidation tracker, on your device only | Until you clear it |
| nhs_admin_token | This site | Keeps site administrators signed in. Never set for ordinary visitors | 7 days |
You can also block or delete cookies in your browser settings. Blocking all cookies may stop parts of some websites working, but every calculator on this site works without cookies.
Why we use your information (lawful bases)
Under UK GDPR we rely on:
- Consent for advertising and analytics cookies (where consent is required) and for newsletter emails. You can withdraw consent at any time.
- Legitimate interests for replying to messages you send, keeping the site secure, and counting anonymous visits so we know which tools are useful. We have checked that these uses do not override your rights.
How long we keep information
- Newsletter emails: until you unsubscribe or ask us to remove you.
- Contact messages: deleted automatically 24 months after they are received, or sooner if you ask.
- Anonymous daily totals: kept indefinitely, because they contain no personal information.
- Server logs: kept by our hosting provider for a short period for security.
Who we share information with
We do not sell your personal information. We share it only with service providers who help us run the site, under contracts that require them to protect it:
- Vercel Inc., which hosts the website.
- MongoDB Inc. (MongoDB Atlas), which hosts our database.
- Google, for analytics, and Google and its advertising partners, for advertising, as described above.
Some of these providers may process data outside the UK. Where they do, they use safeguards recognised under UK law, such as the UK International Data Transfer Addendum or standard contractual clauses.
We may also disclose information if the law requires it.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct it or delete it
- object to, or ask us to restrict, how we use it
- ask for it in a portable format
- withdraw consent at any time, where we rely on consent.
To use any of these rights, contact us by email at subipodiyanjohn@gmail.com or through our contact form and choose "Privacy or data request". We will reply within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113.
Children
This site is written for adults working in or joining the NHS. It is not aimed at children, and we do not knowingly collect personal information from anyone under 16.
Security
The site is served only over HTTPS. Access to the admin area is limited to authorised people with individual accounts and hashed passwords.
Changes to this policy
We will update this page if the way we handle information changes. The date at the top shows when it was last revised.
